Cancellation Policy

At Zone Out Pilates, we value your commitment to your movement practice. To ensure a seamless experience for all our clients, we operate with a 12-hour booking window for all group classes and private appointments. Clients must cancel or reschedule their booked sessions at least 12 hours prior to the scheduled start time to avoid a late cancellation fee or loss of session credit. Please note that all times on our booking platform and within this policy are set to Australia/Brisbane time (AEST/AEDT as applicable).
Terms & Conditions
What if I need to cancel a booking?
We understand that plans can change. If you need to cancel a booking, please cancel through your client account or booking app as early as possible so the space can become available for someone else.
Â
For group classes, cancellations must be made at least 8 hours before the class start time. If you cancel before this cut-off, your class credit will be returned to your eligible pack or membership.
Â
For private appointments and Clinical Pilates appointments, cancellations must be made at least 24 hours before the appointment start time. If you cancel before this cut-off, your appointment credit will be returned to your eligible pack or membership.
Â
If you cancel after the required notice period, this is treated as a late cancellation. Your booking credit may not be automatically returned, and the relevant late cancellation fee may apply.

Group class cancellations
Group classes require at least 8 hours notice to cancel.
Â
If you cancel at least 8 hours before the class start time, your class credit will be returned to your eligible class pack or membership.
If you cancel within 8 hours of the class start time, this is considered a late cancellation. A $15 late cancellation fee may apply.
This applies to group class bookings, including bookings made using casual class purchases, class packs, memberships, and intro offers.

Private and Clinical Pilates appointment cancellations
Private appointments and Clinical Pilates appointments require at least 24 hours notice to cancel.
Â
If you cancel at least 24 hours before the appointment start time, your appointment credit will be returned to your eligible pack or membership.
Â
If you cancel within 24 hours of the appointment start time, this is considered a late cancellation. A $20 late cancellation fee may apply.
Â
This applies to private appointments, duo appointments, trio appointments, and Clinical Pilates appointments.

Credit returns
Â
Credits are generally returned automatically when:

The booking was made using an eligible prepaid pack, class pack, appointment pack, or usage-limited membership.

The booking is cancelled before the required cancellation cut-off.

The cancellation is completed through your client account or booking app.
Â
Some purchase types may not automatically return a credit through the booking system. If you believe a credit has not been returned correctly, please contact us and we can review it.

Late cancellations
Â
A late cancellation occurs when a booking is cancelled after the required cancellation cut-off.
Â
Late cancellations may result in:

The booking credit not being returned automatically.

A late cancellation fee being charged.

The space being unavailable to another client who may have wanted to attend.
Â
Late cancellation fees are:

$15 for group classes.
-
$20 for private appointments and Clinical Pilates appointments.
Â
No-shows
If you do not attend a booked class or appointment and do not cancel your booking, this may be treated as a no-show.
Â
No-shows may result in the booking credit being forfeited. A cancellation or no-show fee may also apply, depending on the booking type and system settings.
Â
Please cancel as early as possible if you can no longer attend.

Why we have this policy
Our classes and appointments have limited spaces available. Late cancellations and no-shows make it difficult for other clients to book in, particularly when a class is full or another client is waiting for an appointment time.
This policy helps us:

Keep bookings fair for all clients.

Give waitlisted clients enough time to attend.

Protect the time set aside for private and Clinical Pilates appointments.

Maintain small, supportive class sizes.

Illness, injury, or unexpected circumstances
If you are unwell, injured, or something urgent happens, please contact us as soon as possible.
Â
We may review genuine exceptional circumstances at our discretion. This does not guarantee that a fee will be waived or a credit will be returned, but we will always try to be fair and reasonable.
Â
If you are unsure whether you should attend due to pain, illness, injury, or a change in your health, please contact us before class or before your appointment.

How to cancel
Please cancel your booking through your client account or booking app.
Â
Cancelling through the booking system ensures your booking is updated correctly and, where eligible, your credit is returned automatically.
Â
If you are having trouble cancelling through the system, please contact us as soon as possible.
